Do not send your child during an alert

  • If at home: keep your child indoors, away from windows and glass.
  • If en route: do not drop off. Proceed to a safe place or return home.
  • Wait for the official all-clear message before resuming the journey.

Operational Risk Levels

How we classify the situation

The school operates at one of three levels at any time. Levels are set by official authorities based on location and conditions. We communicate the current level clearly at the top of this page.

Level 1

Green — Low Risk / Stable

  • No alert messages. Normal operations.
  • Classes held indoors.
  • Readiness is enhanced.
  • Morning assembly and outdoor activities suspended.
Level 2

Yellow — Medium Risk

  • Classes and work continue with preventive measures.
  • Stop movement and shelter immediately when alerted.
  • Apply all preventive actions.
Level 3

Red — Direct Danger

  • Immediate shift to remote learning and work.
  • Do not resume in-person education until officially approved.
  • Authorities determine levels and mandate the shift.
The School Day

Four stages, two scenarios

Every stage of the school day has a clear procedure for normal operations and a clear procedure if an alert is active. Know both — and know which applies right now.

Before Arrival

Students travel normally to school with parent/guardian.

If alert is active
  • Student stays at home in a safe internal place, away from windows.
  • If en route: do not drop off in exposed areas — go to a safe place or return home.
  • Wait for the all-clear message before resuming.

Arrival & Handover

Students enter the building directly. No morning assembly. No gathering at gates, yards, or sidewalks.

If alert is active
  • Parent and student enter the building immediately if safe to do so.
  • Do not wait outside. Avoid crowding and gatherings.
  • Safety is the guiding principle — not speed of handover.

Inside School

Classes continue as usual. Break time is inside classrooms. No activities in yards, exposed areas, or near windows and glass.

If alert is active
  • All activities stop immediately.
  • Students sit in a low, calm position — away from windows and glass.
  • Staff outside move to the nearest safe internal facility.

Dismissal & Return

Dismissal is orderly, swift, and staggered with parents and guardians.

If alert is active
  • Suspend dismissal immediately. Do not evacuate students from the building.
  • No handover during danger. No gatherings at gates.
  • Resume orderly dismissal only once the alert is officially cleared.

What is a safe area?

A designated interior space within the school building, carefully selected and equipped to provide temporary protection for students and staff during emergencies or security threats.

Every safe area in GVIS is integrated into our emergency protocol, clearly signed, and known to all staff and students through regular training.

Wellbeing

Supporting students — during and after

Children read adult body language instantly. A calm, prepared response from us is the single most effective way to protect their sense of safety.

Regulate yourself first

  • Take slow, deep breaths.
  • Keep your voice steady and calm.
  • Avoid panic — students read you instantly.

Gather & reassure

  • Move students away from windows.
  • Say: "We are safe here together."
  • Keep the group close to you and each other.

Use simple, honest words

  • "That was loud, but we are safe."
  • "The adults are taking care of it."
  • Normalize: "It's okay to feel scared or surprised."

Check in gently

  • Listen — don't push students to share.
  • Normalize fear, curiosity, or silence.

  • Gradually return to the normal schedule.
  • Familiar routines rebuild safety and control.

Escalate

When extra support is needed

  • Excessive fear, crying, or clinginess.

Roles and responsibilities

School Management

  • Activate the Safe Education Protocol upon receipt of an official alert.
  • Suspend student handover and dismissal procedures.
  • Oversee and direct student movement to designated safe areas.
  • Maintain real-time communication with parents and guardians during any alert.
  • Educate and train students on sheltering and evacuation procedures.
  • Assign an Incident Lead and ensure all staff are notified.
  • Ensure the PA system reaches all areas of the building.

Educational Staff

  • Guide and organize students calmly during all alert situations.
  • Conduct accurate student headcounts and report immediately.
  • Prevent disorder, crowding, and uncontrolled movement.
  • Keep students emotionally regulated — regulate your own response first.
  • Attend all protocol training and demonstrate knowledge of procedures.

Supervisory & Administrative Staff

  • Support orderly movement during arrival, dismissal, and sheltering.
  • Prevent gatherings at gates, yards, and sidewalks.
  • Maintain assigned post until officially relieved by school management.
  • Use the school radio to relay official messages promptly and clearly.

Parents and Guardians

  • Do not send the student to school during any active alert.
  • Do not gather at school gates or in exposed areas.
  • Follow official government instructions and school communications.
  • Sign the required ADEK parent declaration for return to in-person learning.
GVIS school taskforce

The following roles form our dedicated taskforce. Each member is trained, accountable, and able to explain their responsibilities to ADEK inspectors and staff on request. The senior leadership team is published at gvisalain.com/team-senior-leadership.

  • Incident Lead — activates the protocol, leads emergency response, coordinates with authorities and the senior leadership team.
  • Safe Areas Coordinator (SDP) — identifies, documents, and marks safe areas; ensures readiness; conducts drills.
  • Communication Coordinator — manages PA announcements and coordinates parent and staff communications via WhatsApp and SMS.
  • Compliance, Documentation & Training Coordinator — maintains all safety documents; manages training records and inspection readiness.
  • Evacuation, Movement & Attendance Coordinator — supervises movement to safe areas, prevents crowding, tracks student attendance during emergencies.
  • Security, Access & Dismissal Coordinator — manages gates, controls entry/exit, implements drop-off and dismissal procedures.
  • Medical / First Aid Lead (School Nurse) — provides first aid and emergency medical care; coordinates with health authorities.
General regulations
  1. Flexibility in morning grace period and consideration for delays due to alerts.
  2. Use checklists to confirm readiness of educational institutions.
  3. Return to normal operations only after the alert is cleared.
  4. Train staff and enhance communication with parents/guardians and relevant authorities.
  5. Organize movement, entry, and exit to ensure safety.
  6. Provide and designate internal safe areas for students and staff during alerts.
  7. School bus services are subject to official decisions — flexibility is extended to students and parents regarding on-time attendance or physical attendance.
  8. Obtain signed acknowledgment from parents/guardians for return to in-person education.
Operational requirements
  1. Adhere to the inspection checklist issued by ADEK for safe operations.
  2. Maintain a mechanism for handling incidents, injuries, and fatalities, and for managing communication with parents.
  3. Keep parent/guardian contact details continuously up to date.
  4. Train all staff to demonstrate mature behaviour during alerts and avoid panic.
  5. Assign additional field supervisors and private security, along with training.
  6. Assess facilities for safe areas, classrooms with limited windows, and other suitable designated spaces.
  7. Ensure movement to safe rooms takes approximately one minute maximum.
  8. Use the emergency PA system to ensure alerts reach everyone inside the building.
  9. Mark safe points with identification signs and inform everyone inside the building.
  10. Where a covered area is available (e.g., underground parking), use it for drop-off and dismissal.
